Important Contacts

Having up to date Important Contact details is essential for effective Emergency Management. Ensure each location has the correct Important Contacts to ensure system users know who to contact in case of an emergency.

Before you start

Important Contacts and other Emergency Management information must be completed for each location. 



Adding Important Contacts (Desktop Only)

  1. In the left side menu, select Safety Manager Emergency Management.
  2. Select a location from the Location dropdown in the upper right corner of the page.

  3. If the location selected does not have any Important Contacts you will be given the option to copy contacts from another location.

    1. Select No to add in new contacts - go to step 5 below, or
    2. Yes to Copy from an existing location and select the location to copy from the dropdown menu.
  4. Click Continue.
  5. If you selected No above, Click Add Contact.
  6. Select the required Contact Type (see Note below).
  7. Enter Name. Contacts from the Manage People section will automatically show in the dropdown list. To add an external contact, select Other – not in list and enter full name
  8. Enter Contact number. If the above Name is from the Manage People section their Contact number will automatically populate this section. If an external contact, manually enter the Contact number.
  9. Once all information is entered click Save.

Note:

  • Site Managers MUST be an Active user in either the Manage People section or on the Management Portal.
  • First Aid Officers, Fire Wardens & Traffic Wardens Can either be an Active user within the Manage People section or manually entered as an external contact.
  • All other Contact types will need to be manually entered as external contacts


Editing Important Contacts

  1. Click the 3-dot-png-1 menu of relevant Contact and select Edit.

  2. Edit Name. Contacts from the Manage People section will automatically show in this list. To add an external contact, select Other – not in list and enter full name.

  3. Edit Contact number. If the above Name is from the Manage People section their Contact number will automatically populate this section. If an external contact, manually enter the Contact number.
  4. Once you have edited the relevant details click Save.


Deleting Important Contacts

  1. Click the 3-dot-png-1 menu of relevant Contact and select Delete.
  2. A prompt will pop up asking Are you sure? To confirm deletion of contact click Yes otherwise click No.
